Reports to Operations Business Manager

We’re seeking a proactive and dedicated Housing/Hospitality Director to lead the accommodation services for our traveling teams at AC Sports. This is a full-time position focusing on sourcing rooms from hotels, managing booking websites, and fostering relationships with hotels. You’ll play a pivotal role in shaping our accommodation strategy and expanding our offerings beyond AC Sports.

What You’ll Do (But Also Not Limited to These Tasks):

  • Sourcing rooms from hotels and managing them within our booking software.
  • Developing and maintaining booking websites to optimize the accommodation process.
  • Acting as the primary contact for hotel partnerships, ensuring seamless communication.
  • Implementing automation strategies for AC/T1 Housing to streamline operations.

Play & Stay Outreach and Education:

  • Contact all AC Sports Play & Stay teams with the initial introduction to AC Sports Play & Stay policies and procedures to ensure those teams acknowledge their Play & Stay responsibilities.
  • Provide both phone and email support for all AC Sports Play & Stay teams regarding questions about AC Sports Events and Play & Stay policies and procedures.
  • Track & report all outreach communication to ensure 100% team coverage. 

Onboarding & Team Block Setup:

  • Coordinate the set-up of all Team Blocks to ensure that each team has a functioning and trackable block for their needs.
  • Serve as the primary point of contact for teams regarding “How To” set up best Team Blocks.
  • Submit (coordinate) team requests/needs forms to T1 Housing for support tickets that need addressed.
  • Provide phone and/or email follow-up to all support requests upon completion.

Team Support (Concierge Service/Account Manager):

  • Serve as the primary point of contact for teams regarding housing-related inquiries, needs & requests.
  • Communicate relevant information to teams, including hotel details, check-in/check-out procedures, and any special arrangements.
  • Provide support to teams during their stay, ensuring a positive experience and addressing any immediate needs or concerns.
  • Coordinate team “welcome package” for events.
  • Gather and record post event feedback from teams to continually improve the Play & Stay experience.

Quality Assurance:

  • Complete all forms and documents necessary for tracking & reporting in a timely manner according to event timelines.
  • Communicate any issues to the appropriate channels for all needed resolutions.

Documentation and Reporting:

  • Work closely with the AC Sports Scheduling Coordinator(s) to align housing logistics with the overall event schedule.
  • Maintain accurate records of accommodation details, contracts, and communications.
  • Generate reports on housing logistics, including rooming lists and special requests, for internal and external use.
